Title: Account Coordinator
Reports to: Account Supervisor / Senior Account Executive
 
Position Summary:
The Account Coordinator role focuses on coordinating information to support our agency client
services team members during various stages of multiple projects. The role requires developing
core skills by learning the basics of the healthcare industry, company process, as well as
anticipation, attention to detail, and ability to multitask-moving from project to project. This
individual must be eager to learn and able to respond quickly and establish solid partnerships and
trust with colleagues, vendors, and clients alike.
 
General and Daily Responsibilities:
  • Supports team in the development of documents, materials, and logistical planning.
  • Leads team logistics and project details (updates team status reports, client-facing project timelines, meeting scheduling, status meeting recaps, hot lists, etc.)
  • Assists with project brief development.
  • Learns about the client’s company, products, and market landscape and uses knowledge to help make informed decisions and recommendations.
  • Takes initiative to learn from more senior members of the team.
  • Meets performance goals and strives to prioritize daily tasks.
  • Keeps projects moving forward in a proactive fashion and communicates deadlines.
  • Follows processes and systems as outlined by agency leadership.
  • Attends status calls/updates with vendors and clients, takes copious notes, and contributes where applicable.
  • Creates and sends out meeting agendas and post-meeting summaries.
  • Communicates with clients and management, on requests, in a timely manner.
  • Initiates timely and effective communication between internal teams and departments.
  • Assists in management and preparation of files for various review committees (MLR/PRC)
  • Manages Veeva submissions, including functional annotations, reference linking and core comments with minimal supervision.
  • Translates and applies MLR/PRC feedback on projects within agency routing system.
  • Helps with research and various data collection, compiling spreadsheets, etc.
  • Assists in managing vendors (creates/updates spec sheets, keeps track of costs)
  • Performs other related duties as assigned.
 
Qualifications:
  • At least 1 year of agency experience required (healthcare/ pharma agency experience preferred)
  • Demonstrates excellent interpersonal skills and advanced listening.
  • Embodies the ability to multi-task and to work both independently and as a team player.
  • Possesses exceptional administrative capabilities and attention to detail.
  • Shows respect for teammates with regards to timely attendance, communications and sharing in workload
  • Displays excellent time management and organization skills dedicated to delivering high quality work, exuding pride in their work.
  • Possesses excellent verbal and written skills.
  • Conducts themselves with a positive attitude.
  • Embodies the ability to establish strong and collaborative relationships both internally and externally.
  • Works within budget and timeline parameters
  • Occasional limited travel required.

Pay Transparency: The range above represents the low and high end of the base salary someone in
this role may earn as an employee of Heller, Inc. in the United States. Salaries will vary based on
various factors including but not limited to professional and academic experience, training,
associated responsibilities, and other business and organizational needs. The range listed is just
one component of our total compensation package for employees. Salary decisions are dependent
on the circumstances of each hire.
